Privacy Policy

This Privacy Policy explains how troveiq (we, us, our) collects, uses, discloses and protects your personal information when you use the troveiq application, vault email address and related services (the Service). We handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). It should be read together with our Terms of Service.

1. What we collect

• Account information — your name, email address and the unique vault email address we generate for you.
• Documents you provide — the property documents you forward to your vault address or upload (for example rental statements, council rates notices, water bills, strata levies, loan statements and insurance documents), which may contain personal and financial information.
• Information extracted from those documents — figures and details our automated processing reads from them, such as loan balances, rates, rents, lenders, amounts and dates.
• Property and portfolio details you enter, and any preferences or requests you make (for example asking us to connect you with a partner).
• Technical and usage data — IP address, device/browser information, and basic logs needed to run and secure the Service.

2. How we collect it

We collect information directly from you (when you sign up, forward or upload documents, or enter details), automatically (when you use the Service), and through automated extraction that reads the documents you provide. We may also use limited third-party market data (for example suburb-level estimates) to provide context — this is not personal information about you.

3. Why we use it

• To operate the Service: store your documents, read them, and surface insights such as equity, cashflow, holding costs, key dates and indicative rate comparisons.
• To authenticate you (passwordless magic-link sign-in) and keep your account secure.
• To communicate with you about the Service, including beta updates and (during testing) feedback requests.
• To connect you with a partner provider only when you ask us to or consent at the time.
• To improve and troubleshoot the Service.

4. Automated processing (AI)

We use automated systems, including AI models, to read your documents and extract structured information. Results are indicative and may be wrong; they are general information, not advice (see our Terms). We do not use your documents to train third-party public AI models.

5. When we disclose it

We do not sell your personal information. We disclose it only:

• to service providers who help us run the Service (for example cloud hosting and database, email delivery, and AI processing providers), under obligations of confidentiality and only to provide those services;
• to a partner provider you choose to be connected with (for example a mortgage broker, agency, insurer, conveyancer or quantity surveyor), with your consent at the time;
• where required or authorised by law, or to protect our rights or the safety of others;
• to a buyer or successor if the business is transferred, subject to this Policy.

6. Overseas disclosure

Some of our service providers (for example hosting and AI processing) may store or process information on servers located outside Australia, including in the United States. Where they do, we take reasonable steps to ensure your information is handled consistently with the APPs.

7. Storage & security

Your documents are stored in private storage and access is restricted to your account. We use reasonable technical and organisational measures to protect your information. No system is perfectly secure, so we can't guarantee absolute security. We keep your information for as long as your account is active and as needed to provide the Service; you can ask us to delete it (see below).

8. Your rights

You can ask us to access or correct your personal information, export your documents, or delete your account and data. To make a request, email jeremy@troveiq.com.au. We may need to verify your identity first.

9. Direct marketing

During beta we may email you about the Service and ask for feedback. You can opt out of non-essential messages at any time by replying or using any unsubscribe link; we may still send essential service messages (such as sign-in links).

10. Complaints

If you have a privacy concern, email us at jeremy@troveiq.com.au and we'll work to resolve it. If you're not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

11. Changes

We may update this Policy as the Service develops. If we make a material change we'll take reasonable steps to let you know, and the "last updated" date above will change.
